Refund Policy

1.0  Purpose

This Refund Policy (“Policy”) applies to Better Business Bureau Incorporated, of Austin, Texas, doing business as BBB Heart of Texas (“BBB HoT”) and governs requests for refunds of payments made to BBB HoT unless otherwise provided in an applicable Agreement or required by law.

2.0  Scope

BBB HoT strives to provide high-quality programs, services, and experiences. Because many purchases involve advance planning, administrative costs, contractual commitments, or the immediate delivery of products or services, not all payments are eligible for a Refund.

Nothing in this Policy creates a contractual right to a Refund where no such right otherwise exists.

3.0  Definitions

Agreement: Any written contract, registration, sponsorship agreement, advertising agreement, coworking agreement, rental agreement, event registration, purchase order, proposal, or other document governing the provision of products or services by BBB HoT.

Refund: The return of all or a portion of a payment made to BBB HoT. A Refund does not include credits, transfers, discounts, or other accommodations unless expressly approved by BBB HoT.

4.0  Accreditation Dues

Accreditation dues are governed by the BBB Accreditation Agreement.

As provided in the Accreditation Agreement:

“All fees shall be deemed fully earned once paid and shall be non-refundable.”

The Accreditation Agreement controls all matters relating to accreditation dues.

5.0  Products, Services, and Programs

Unless otherwise provided in an Agreement or promotional materials, payments for products, services, and programs are generally non-refundable once the product has been delivered, the service has commenced, or the program or event has begun.

Examples include, but are not limited to:

  • Sponsorships
  • Advertising and marketing services
  • Business education and training
  • Events and conferences
  • Coworking and meeting room rentals
  • Merchandise
  • Digital products
  • Consulting or professional services

6.0  Cancellations

Cancellation of a product, service, event, subscription, or Agreement does not automatically entitle a customer to a Refund. Unless otherwise provided in an applicable Agreement, customers remain responsible for any amounts due for products or services provided before the effective cancellation date. Any payments made prior to the effective cancellation date are non-refundable unless otherwise expressly stated in the applicable Agreement or approved by BBB HoT in accordance with this Policy.

7.0  Donations

Donations made to BBB HoT or its affiliated nonprofit organizations are charitable contributions and are generally non-refundable.

If a donation was made in error, such as a duplicate transaction or an incorrect amount, BBB HoT will review the request and, when appropriate, issue a Refund.

8.0  Billing Errors and Duplicate Payments

If you believe you were charged in error or a duplicate payment was processed, please notify BBB HoT promptly. Verified billing errors or duplicate payments will be corrected as soon as reasonably practicable. Any approved Refund will be processed in accordance with Section 10.0 of this Policy.

9.0  Exceptional Circumstances

BBB HoT recognizes that unforeseen circumstances may arise. Requests for a Refund due to documented emergencies, significant hardship, or other extraordinary circumstances may be considered on a case-by-case basis.

Approval of any exception is at the sole discretion of BBB HoT and does not establish a precedent or create a continuing obligation to issue future Refunds.

10.0  Refund Processing

Approved Refunds will generally be issued to the original method of payment whenever practicable. Processing times may vary depending on the payment processor or financial institution.

11.0  Governing Agreements

If an Agreement contains refund, cancellation, termination, payment, or limitation of liability provisions that differ from this Policy, or if applicable law requires a different result, the terms of the Agreement or applicable law shall control.

Where an applicable Agreement limits refunds, damages, or other remedies, those limitations shall govern.

12.0  Policy Changes

BBB HoT reserves the right to amend this Policy at any time. Changes apply prospectively and will not affect transactions completed before the effective date of the revised Policy.

By purchasing a product, registering for a program or event, making a donation, or otherwise submitting payment to BBB HoT, you acknowledge that you have read and agree to this Policy unless your transaction is governed by a separate written Agreement.
